Today I attended the meeting,I thought 'Fundamental rules of reporting'.

Before talking of details,I begin to talk about context.

The context is below.

The meeting of our division is held every Friday.

Some leaders have to report their activity's progress to everyone.

I felt that some differences exist between some reports.

The differences are easy to understand.

One leader's report was easy to understand.
Another leader's report was not easy to understand.

What were the differences?

I considered the differences during the meeting.

I summarized '7 rules for a good reporting' at once.

Fundamental rules for a good report
------------------------------

1. Conclusion comes first. ( Be short as possible.)

For example
The activity have finished.
The activity is confusing by conflicton of issue.


2. Express background information.

Don't start reporting the details of activities.

Others will not understand the contents with sudden start.

Others don't remember your last week's report.

So if you start reporting with details , others don't understand contents.

3. Report from the whole view to the detail view.

It is similar to the rule No.2 above.

4. Express the process to the core contents.

It is important for listeners to hear process for getting the core contents.

People cannot understand if you start with the core contents.

I think it is important why your opinion generated.

5. Report what are the problems and express your thought or stance to the problems.

6. Report the 'Plans' to the future. (especially how you spend time next week)

7. Stand the view of listeners.

Firstly , you have to simplify your report.

Secondly, think the main contents.

Main contents have to be report in detail.

You have to think as if you have no knowledge to your activities.

Almost all listeners are interested in their own.

So you have to simplify the contents.


These are my awarenesses during the meeting.

(It occured the meeting of our division every friday.)
→Which is the normal expression?? Both are OK??

Some leaders have to report their activitie's sitiuation to everyone.
(especially to the boss (the president of our division))

I felt something differences exist between some reports.
The differences are easiness to understand.

One leader's report was easy to understand.
Another leader's report was difficult to understand.

What are the different?

I considered the differences when attending the meeting.

I summarlize '7 rules for good reporting' at once.
